JOB TITLE: Receptionist
ORGANISATION: Straight Blast Gym Ireland
HOURS: 2pm to 8pm Monday - Friday (must be flexible to start earlier and cover weekend shifts due to
sickness/holidays)
REPORTS TO: Senior Receptionist & Gym Manager

JOB PURPOSE:
Responsible for dealing with phone/email enquiries, booking in membership appointments, providing customer support to members and visitors to the gym and ensuring reception runs efficiently.

DUTIES:
Clerical & Administrative
• Undertake a variety of administrative duties to assist in the smooth running of the gym.
• Uphold a clean and tidy reception area including front desk and entrance foyer.
• Maintain an efficient filing system.
• Ensure compliance with all company policies, procedures, and guidelines
• Weekly testing of emergency lighting and fire alarm systems
• Provide customer service to members, visitors to the gym and walk in enquiries including café sales.
• Process member/visitor fees, suspensions and cancellations for clients
• Deal with membership problems e.g. overdue fees or expiring memberships
• Maintain member profiles on the gym software, adding missing documents/information
• Assisting accounts in administration duties
• Cash handling
• Daily updating of various spreadsheets & Growing Gorillas roll call
• SBG merchandise sales including accurate stock takes and transaction records
• Monitor the Straight Blast Gym Ireland Facebook pages and reply to enquiries
• Create signage for the gym and social media sites for any gym announcements
• Assist with cover for coaches and other receptionists
• Follow up with injured members, ensure accident report forms have been completed and filed

Handling Customer Queries
• Handle telephone calls
– Answer the phone in a professional and courteous manner
– Dealing with member queries relating to their gym accounts
– Running membership/other fees for clients or visitors
– Booking in membership/upgrade/paperwork signing appointments for reps
– Confirming appointments/rescheduling missed appointments
• Take legible messages when callers are to be phoned back
• Email
– Pick up, open and distribute incoming mail daily
– Maintain and update saved replies to satisfy daily requests
– Reply to all daily enquires
– Dealing with member queries relating to their gym accounts
• Post
– Deal with incoming/outgoing post and distribute as necessary.
– Sort and record SBG merchandise deliveries

Gym Supplies/Equipment
• Establish basic office supplies list
• Check status weekly of supplies, reorder when necessary and store
• Call for service on office equipment as required
• Maintenance as required on office equipment (ink changes etc)
• Organise for bins to be emptied/cleaning materials to be collected
• Maintenance arranged as required for plumbing/building needs in the gym

Travel Arrangements / Gym Events
• Assist in planning events for Growing Gorillas (gym parties etc)
• Assist with travel arrangements for competition teams
• Assist with gym social events e.g. Christmas party and UFC viewing parties

SBG Cafe
• Serve members cafe products including protein shakes, hot drinks, bars etc
• Operate cafe till and if required cash up at the end of the day
• Assist with restocking items
• Keep cafe clean including drawers, surfaces, fridges and hot drinks machine


Experience & Requirements:
• Previous experience essential in Reception role
• High level computer skills and full knowledge of Microsoft office is required
• Exceptional attention to detail with an ability to co-ordinate various tasks simultaneously in a fast-paced workplace
• Ability to deal with people in a friendly and efficient manner
• Excellent phone manner, organisational and administration skills
• Previous experience in dealing with customer complaints
• Ability to deal with high volumes of calls and emails
• Highly focused and organised individual
• Good team player – must enjoy being part of, and actively participating in a team environment
• Ability to work on own initiative
• Third Level or Secretarial qualification an advantage.

Salary: Dependent on experience
